In Conjunction With (ICW) Events

An ICW is an event (separate from the AOM and its divisions) that takes place "in conjunction with" the Academy of Management Annual Meeting but is scheduled and organized as a separate event. ICWs provide an opportunity for organizations, universities, and groups to host an event at the AOM Annual Meeting, where many of their participants may already be conveniently located.

NOTE: ICW events cannot be used for interview purposes nor can they be used by an AOM division, interest group, or committee to obtain additional program time; however, DIGs are able to submit ICW events for non-AOM related events, such as Journal events or other outside events. Memorial services can also be scheduled as an ICW event and will receive a complimentary room for the event.

EVENT SPACE & RATES

ICWs are scheduled based on room and space availability within the AOM-contracted properties where Annual Meeting sessions take place. ICW events require a nominal fee, based upon the size of the event. All payments are final and non-refundable.

REGISTRATION & ATTENDANCE

ICW organizers do not need to be AOM members or registered for the meeting to submit an ICW request. However, anyone attending the ICW event onsite, must be registered to attend the meeting and must be a member of the Academy of Management. Attendee badges will be checked upon entry into each session.

CATERING & AUDIO/VISUAL REQUESTS

Costs associated with catering orders or audio visual rental fees are additional and are the responsibility of the submitter/organizer. AOM does NOT have any involvement in placing orders or covering the costs for ICW-related equipment or expenses. All catering orders must be placed through the Convention Services Manager (CSM) at the appropriate property and the menus will be offered at the AOM negotiated conference rate. Outside food is not permitted.

SUBMIT AN ICW EVENT

All ICW requests must be submitted through the AOM Submission Center through July 25, 2019. Each ICW event requires its own submission number and cannot be combined with other ICWs. To get started, sign in to your account to create your submission. If you are a new user (you have never signed in to AOM), create an account first before you submit. If you aren’t automatically redirected, go to https://submit.aom.org and click on Submit A New ICW Activity to get started.

Step 1: Submission Information. Provide Title, Session Description, Short Title, Session Purpose. Once you hit Save & Next or Save & Exit, a 5-digit submission ID will be generated for your submission.

Step 2: Scheduling Requests. Indicate Preferred Day and Time, Attendance, Seating Configuration, Food, A/V, Location, and whether to list the session on the Program.

Step 3: Review Submission. Please review the details entered for your submission.

Step 4: Finalize Submission. Please read and check ALL the boxes, then select Finalize Submission to complete your submission. Once finalized, you will not be able to make changes to your submission. If changes are needed please contact icw@aom.orgIf your submission is not finalized it will NOT be scheduled.

Please allow two weeks for AOM to identify space for your event and contact you via e-mail with next steps. (Look for an email with subject "AOM ICW Event on Hold Pending Payment") with next steps. Payment for your ICW session must be received within 14 calendar days from the date of the notification email, or the space will be released.

CANCEL OR EDIT AN ICW EVENT

If an ICW needs to be canceled or edited, contact the AOM at icw@aom.org. All payments are final and non-refundable.
